Changing Roommates

All residents of a rental unit, 18 years of age or older, must be on the rental agreement in order to be considered an “approved tenant”.


In order to be added to the rental agreement, a prospective tenant/roommate must fill out an application and be approved PRIOR to moving into the unit. A roommate application may be submitted online on this website under the Vacancies tab by selecting the property entitled "Roommate Applications (Changes or Additions)" and by following the instructions noted there.


“Subletting” is a violation of the rental agreement. “Subletting” is defined as allowing any individual to reside (10 days or longer) at the premises without prior written approval from Northcutt Properties, Inc. This type of violation may compromise a tenant's standing and result in eviction.


Replacing a Roommate

The Process:

  1. Tenant moving out submits Roommate Notice to Vacate And Deposit Release form to Northcutt Properties, Inc. indicating date of move out, signed by all tenants, including tenant vacating the unit (applicable only to tenants on a month-to-month term agreement).
  2. Prospective replacement tenant submits application to Northcutt Properties, Inc. for review.
  3. Upon approval of prospective tenant’s application, a new rental agreement is created by Northcutt Properties, Inc. and is then signed by all approved tenants (tenant who vacated not included).
  4. New roommate is free to move into the property and equally shares the benefits and responsibilities associated with the unit as if the new roommate had resided in the unit since the inception of the original contract.


Additional Points to Consider

Please note that until a new rental agreement is signed, the tenant who has given notice to vacate is still considered an active tenant regarding all tenancy issues and security deposit benefits.

No portion of any security deposit is disbursed at any time prior to the unit coming completely vacant. Inspections regarding security deposit accountability are only provided at the time of the unit being completely vacated and are not conducted by Northcutt Properties, Inc. at the time of move-out for an individual tenant to determine the extent of damage attributable to a particular tenant. Tenants are advised to exercise judgment on the accountability of a tenant vacating the unit as to how to proceed in coming to a settlement of the vacating tenant’s interest in the existing deposit. While Northcutt Properties, Inc. requires a signed release of interest from a tenant vacating a unit, Northcutt Properties, Inc. does not get involved with, nor assumes any responsibility for, negotiations and dealings between roommates.

Notice to Vacate

If all tenants will be moving out and the property will be completely vacated, please open and complete the attached document: 30-Day Notice to Vacate.


Once you have filled out and signed the 30-Day Notice to Vacate, you may deliver, fax, mail, or scan and email the notice to our office. Your rental responsibilities will continue for 30 days from the day when your notice is RECEIVED by Northcutt Properties, Inc.


Please be advised that the 30-Day Notice to Vacate is effective only for individuals who are currently month-to-month in terms of their contract. A 30-Day Notice to Vacate will not release a tenant from contractual obligations that extend beyond 30 days.


Once we have received your notice to vacate, we will mail you confirmation.
